Overview
This policy explains how OfferTrail handles information when you organize real estate transactions, import documents, use device features, or enable an optional shared brokerage workspace. OfferTrail does not sell personal information and does not use transaction data for targeted advertising.
Information You Provide
Depending on how you use OfferTrail, information may include:
- Agent, client, vendor, inspector, appraiser, and other transaction-participant names and contact details.
- Property details, offer terms, deadlines, milestones, notes, inspection findings, repair records, bids, walkthrough items, and closing information.
- Company name, logo, colors, custom backgrounds, workspace membership, invitations, and team roles.
- PDFs, property photos, supporting images, and other files you choose to import or create.
- Email address and authentication information when you create an OfferTrail account for cloud collaboration.
Local-Only Use
You may use OfferTrail without creating an OfferTrail account. In local mode, transaction records and preferences are stored on your device. Local information is not uploaded to an OfferTrail cloud workspace unless you enable a sharing, synchronization, or cloud feature.
Optional Cloud Workspaces
If you create or join a shared brokerage workspace, OfferTrail uses Google Firebase services for authentication, database synchronization, file storage, and hosted sharing features. Cloud data may include your email address, account identifier, brokerage and role membership, transaction records, documents, and photos selected for synchronization.
Workspace owners and administrators control invitations and team access. Authorized workspace members may be able to view or change shared records according to their assigned roles.
Documents and On-Device Processing
OfferTrail may use Apple frameworks such as PDFKit and Vision to read imported documents and suggest transaction fields. This processing is designed to occur on the device. Suggestions are advisory and should be reviewed against the original document before being accepted. Documents chosen for a shared workspace may be uploaded to its private cloud storage.
Device Permissions
OfferTrail requests access only when a related feature is used. Permissions may include:
- Camera and Photos: scan documents or add property and branding images.
- Contacts: optionally import a person into the transaction directory.
- Calendar: add selected transaction milestones and deadlines.
- Notifications: provide local reminders for selected deadlines.
You can change these permissions in Apple device settings.
Purchases
If OfferTrail offers an in-app purchase or subscription, Apple processes the transaction. OfferTrail receives purchase and entitlement information needed to provide the feature, but does not receive your complete payment-card information.
Sharing and Service Providers
OfferTrail shares information only as needed to provide a feature you request, operate the optional cloud workspace, comply with law, protect users and the service, or complete a transfer you initiate. Service providers may include Apple and Google Firebase. Their handling of information is also governed by their applicable terms and privacy practices.
Retention and Deletion
Local data remains on your device until you remove it, reset the app, or delete the app and its local data. Shared workspace records remain available until deleted by an authorized user or removed in response to a valid account or workspace request, subject to legal, security, backup, and dispute-resolution requirements.
To request deletion of an OfferTrail account or cloud data, email support@newvillage.app from the address associated with the account. Include “OfferTrail Data Deletion Request” and the workspace name or identifier, if applicable. We may need to verify your identity and authority over the requested data.
Security
OfferTrail uses access controls and private workspace-scoped storage rules intended to protect cloud records. No storage or transmission method can be guaranteed completely secure. Protect your device passcode, account credentials, invitation codes, and exported transaction files.
Children
OfferTrail is a professional real estate workflow product and is not directed to children under 13.
Professional and Legal Information
OfferTrail is an organizational tool. It does not provide legal advice, licensed forms, brokerage supervision, or electronic-signature services. Users are responsible for record accuracy, required disclosures, approved forms, retention obligations, and compliance with applicable real estate and privacy laws.
Policy Changes
We may update this policy when OfferTrail’s features, service providers, or legal obligations change. The effective date at the top identifies the current version.
